Fleet Planning

MachinesAfrica Rentals helps contractors plan hired plant and machinery around each project stage, from site setup and bulk earthworks to finishing work and handover. We sequence equipment to suit changing workloads, keep maintenance in step with your programme, and reduce idle plant on site.

Planned hire that matches the job, not just the quotation

Fleet planning is for projects where the work changes from week to week. A contractor may start with excavators, tipper support and generators, then move to compactors, telehandlers, scaffolding or lighting once the bulk work is done. We plan the hire so the right machines arrive when they are needed, not all at once and not too late. That keeps the site moving and helps control hire cost, fuel use and congestion on the ground.

Our team works with contractors on building sites, roadworks, industrial yards, civils, warehouse expansions and municipal work. We also plan for local conditions such as load-shedding, wet seasons in KZN, coastal humidity in Cape Town and the dust and heat that can affect plant in Gauteng. The aim is simple: fewer stoppages, fewer idle machines, and a better fit between the fleet and the programme.

  • Sequenced plant hire by project phase
  • Short and long term hire options
  • Site delivery across Gauteng, KZN and the Western Cape
  • Plant changes when the workload changes

What we include in a fleet plan

Each plan starts with your scope, drawings if available, and the dates that matter most. We look at access, site height restrictions, ground conditions, loading areas, power needs and any municipal rules that affect delivery or working hours. From there we map equipment to the programme and advise on likely stand-by periods, peak demand and when a smaller machine may do the same work more efficiently.

A fleet plan can include excavation plant, earthmoving plant, compaction equipment, generators from 10 kVA to 500 kVA, lighting towers, scaffolding, access equipment, water tanks, pumps, site cabins and fuel support. For bigger jobs we also plan operator supply and breakdown cover so that one failure does not hold up the whole site. It is practical work, not guesswork, and it helps when several trades are using the same compound.

  • Equipment sequencing by stage of works
  • Operator supply where needed
  • Fuel management and refuelling schedule
  • Safety documentation and site compliance records
  • Breakdown response and swop-out planning

How the planning process works

We keep the process direct. First, we confirm the site location, project dates and the type of work ahead. Then we compare the plant list with the programme so we can sequence the hire properly. If the job is in Germiston, Midrand, Pretoria East, Boksburg, Durban, Pinetown, Cape Town or Bellville, we schedule delivery from the nearest depot where possible to cut wasted travel time.

Once the plan is agreed, our operations team tracks the hire against the programme and adjusts if the job changes. If earthworks finish early, we can move plant off site or replace it with finishing equipment. If rainfall, concrete delays or a late design change affects the schedule, we shift the hire period and keep the site supplied. You do not need to restart the whole process each time there is a change.

  • Step 1: site and programme review
  • Step 2: machine sizing and sequence planning
  • Step 3: delivery, tracking and adjustment
  • Step 4: off-hire collection or plant swop-out

Turnaround times for planned hires

For standard fleet planning requests, we usually respond same day during working hours if the project details are clear. Where the site needs a full plant sequence with different stages, access constraints or operator cover, we may need a bit more time to finalise the schedule. In many cases the first draft can be turned around within 24 hours, especially for Gauteng sites with a clear programme and equipment list.

Urgent changes are handled through our dispatch and fleet team. If a machine is delayed or a stage runs longer than expected, we can shift delivery windows, arrange same-day dispatch where stock allows, or line up a replacement unit. That is useful on projects with tight penalties, weekend work or staged handovers. Our Germiston base gives us good reach into the eastern corridor and central Johannesburg, while the other depots support longer distance work.

For jobs in the coastal belt or on large remote sites, we also factor in travel time, refuelling points and maintenance access so the plan stays realistic. A fleet plan is only useful if it works on site and not just on paper.

Pricing that follows usage, not wasted hire days

Pricing depends on the machine type, duration, site location, operator needs and how often the fleet changes during the project. A plan for one excavator over several months is priced differently from a short programme that needs a generator, scaffolding and compactors in stages. We quote according to actual use, transport requirements and the likely maintenance load over the hire period.

Long term hire can reduce the daily rate on stable plant, while short term or same-day changes may carry additional transport and dispatch costs. Where the scope is still moving, we can structure the pricing around project phases so you are not paying for idle equipment. If the programme changes, we revise the plan and keep the commercial side clear. No hidden surprises, and no need to hold unused plant just in case.

  • Daily, weekly and long term hire pricing
  • Transport and delivery based on site location
  • Operator and fuel options quoted separately
  • Phase-based pricing for changing programmes

Maintenance intervals and equipment care during hire

Fleet planning only works if the plant is serviced at the right time. We set maintenance intervals around operating hours, site conditions and the make-up of the fleet. On dusty inland sites, service checks may need to happen sooner. On coastal jobs, we pay more attention to corrosion, electrics and fast-wearing parts. If the machine is working on double shifts, the service window is scheduled to avoid interrupting critical work.

Our workshop and field teams handle routine checks, oil and filter changes, tyre and track inspection, hydraulic leaks, battery condition and basic safety items. If a machine needs attention, we plan a swop-out before it becomes a problem. That is especially useful where the project depends on one key item, such as a generator during load-shedding, or a compact machine working inside a tight compound where access is limited.

  • Service checks by hour metre and site conditions
  • Track, tyre and hydraulic inspections
  • Field servicing where practical
  • Planned swop-out for critical plant

Sites we support from Germiston and our depot network

Our fleet planning service supports construction teams across Gauteng, KwaZulu-Natal and the Western Cape, with depot support from Germiston, Midrand, Pretoria East, Boksburg, Durban, Pinetown, Cape Town and Bellville. This helps us sequence plant around local demand, reduce down time between stages, and keep collections and deliveries organised when the programme changes at short notice.

We work with large contractors and smaller builders who need a practical plan for hire over time. Whether the job is a warehouse floor, road widening, housing development or an industrial upgrade, we help line up the plant so the site can keep moving. If you need a structured hire plan with clear timing, service intervals and backup options, we can map it out around your programme and keep it manageable from start to finish.

Questions we get asked

Can fleet planning help if my project stages are still changing?

Yes. We can adjust the hire sequence as the programme changes, so you only keep the plant you need for each stage.

Do you plan for generator use during load-shedding?

Yes. We include generator sizing, refuelling and service timing where power reliability affects the site.

Can you support more than one depot area on the same project?

Yes. We can coordinate plant from the nearest practical depot and move equipment between areas if the programme requires it.
